Two people, one payroll

Prepared by one. Approved by another.

A Preparer runs the payroll and submits it. A Reviewer checks the figures and either approves them or sends them back with a reason. Approving locks the month — so nothing quietly shifts underneath a return you've already filed.

The two sit on separate computers — the office and the accountant, the clerk and the owner. The month travels between them as a sealed parcel: locked on the sending machine with a key only your team holds, so the relay that carries it can never open it. Your salaries stay unreadable to everyone but you — the same arrangement as the encrypted cloud backup.

Even the reviewer’s notes stay sealed. If they flag a specific employee, that comment is encrypted on their machine before it moves — the relay stores it without ever holding the employee’s name.

Working alone? None of this appears. Payroll runs straight through, offline, exactly as it does now — a second seat is something you switch on, not something you're put through. Inside a team, the one rule is that the same person can't both prepare and approve the same month; every submission, send-back and approval lands on the audit trail, with a name and a time against it.
